Apps you use in Office (such as Outlook, Word, Excel, PowerPoint, and OneNote) include a proofing feature to edit spelling errors and check grammar to ensure that you can create email and documents as clearly and as effectively as possible. However, if you're not using the correct language for proofing, you won't be able to benefit from this feature.

Luckily, if you type in more than one language, or you're not using the correct proofing settings, in Office 365, Office 2019, Office 2016, and Office online, you can quickly set the appropriate languages to edit spelling and check grammar mistakes.

In this Windows 10 guide, we'll walk you through the steps to set the proofing language in the suite of Office desktop and web apps.

How to set proofing language in Office

Setting the language or languages that Office will use to proof your content is easy, but the steps will be slightly different if you're using the desktop or web apps.

Setting proofing language in Office apps

To set the proofing languages for your Office apps (Word, Excel, PowerPoint, Outlook, and OneNote), use these steps:

1. Open an Office app. (For example, Microsoft Word.)

2. Create a blank document.

   (Quick Tip: You can save the extra steps to create a blank document using this tip to skip the start screen in Office.)

3. Click on File.

4. Click on Options.

5. Click on Language.

6. Under the Choose Editing Languages section, use the drop-down menu to select a new language for Office to use to check spelling and grammar.

7. Click the Add button.

   (Quick Tip: If you work with multiple languages, repeat steps No. 6 and 7 to enable proofing support for more languages.)

8. Select the newly added language and click the Set as Default button. (This is optional.)
9. Click the OK button.
10. Click the OK button again.

Once you complete these steps, restart the Office application for the changes to take effect.

While configuring some of the features in Office requires that you apply the settings to each app individually, you only need to set the proofing settings in one of the apps, and then the changes will apply automatically to all the other apps (such as Word, Excel, PowerPoint, Outlook, OneNote (legacy)).

Setting proofing language in Office online

To set the proofing languages for the online version of Office, use these steps:

1. Open the Microsoft Word app on your web browser.

   (Important: When using the version of Office online, you can only manage the spelling language settings in Microsoft Word.)

2. Click the Review tab.

3. Click the Spelling & Grammar (arrow) button and select the Set Proofing Language option.

4. Select the new language that you want to use for proofing.

5. Click the OK button.

After you complete the steps, Word online will be able to check your spelling using the languages that you specified.

How to set proofing language in OneNote

Although OneNote is part of the suite of Office apps, changing the proofing settings is a little different whether you use the app for Windows 10 or the online version of OneNote. (Important: If you're still using OneNote 2016, use the above steps to change the settings.)

To set the language to check spelling in the modern version of OneNote, use these steps:

1. Open the OneNote app for Windows 10.
2. Select a misspelled word.

3. Right-click the selection and click the Set Language option.

4. Click the See all option.

5. On the right side, select the language that you want to use.

Once you've completed these steps, OneNote will detect the language as you type and proof the text depending on languages that you specified.

Adding a new language on Windows 10

OneNote depends on the languages installed on your device to check spelling. If your device doesn't have the required language installed, use these steps to install it:

1. Open Settings.
2. Click on Time & Language.
3. Click on Language.

4. Under the 'Preferred languages' section, click the Add a language button.

5. Select a new language.

6. Click the Next button.

7. Select the additional features and settings that you want to use.

8. Click the Install button.

After completing the steps, OneNote will be able to proof content with the language settings you specified earlier.

To change the language for proofing using the online version of OneNote, use these steps:

1. Open OneNote on your web browser.
2. Click the Home Tab.

3. Click the ABC (arrow) button and select the Set Proofing Language option.

4. Select the new language that you want to use for spelling.

5. Click the OK button.

Once you completed the steps, the online version of OneNote will be able to check your spelling using the languages you specified.

I haven't played much with Pages, but what I have understood is that languages can be a property of styles. Hence you can have a style called 'body Swedish' and another one called 'body English' and then select among them when writing multi-lingual texts.
Having set the styles properly. The writing of multilingual documents becomes much less of a hazzle.

Yes, you can set the language in a style.
Probably even in a character style (so you can mix different language words in the same paragraph). Haven't tested this last one yet, though.

Most text editor (and layout programs) allow you to use the language like a style attribute. In contrast, the spellchecker in OS X, although working globally in all (Cocoa) apps, which is a nice feature, so far you could only set the language globally but independently from the system language.
It seems like Pages (and maybe Keynote 2) offer more customisation in that sense (but take their default from the system language and not from the language set for the global spellchecker).
My favourite feature of the OS X spellchecker however is the 'Multilingual' setting. It allows you to write in something like ten different languages and only if a word does not exist in any of them it gets marked (without constantly having to change the language setting). This catches basically all typos (though a couple of False Friends will be overlooked).

German Spelling Words

• Is the spell checking available for Unicode Right-to-Left Hebrew?
• Is anyone using Pages for doing Right to left language?
• Is it capable of it?

To me this is funny because the logic of your questions is bottom-to-top. You're asking: can it be done, is anyone doing it, what about spell-checking?
I wish I knew :-)

The problem is that I'd like to spellcheck Norwegian. Any other Cocoa-app gives me this opportunity using Cocoaspell.
Does this work in Pages? No! You're stuck with the standard languages supplied with the OS.

What I did was:
1. Create a new blank document
2. Press Apple+A to select all
3. Set the language in the Inspector > Text > More > Language to Nederlands (Dutch)
4. Save the document as a template (File > Save as Template) in My templates as 'Dutch Blank'
Now I just select this template if I want to make a Dutch document. Of course you can replace Dutch with your own language :)

hmmm does not seems to work with the Pages2 :(

This is really easy, do the following to change the language:
1. Open a new blank document.
2. Press Cmd+A to do a Select All
3. Open Inspector (Alt+Cmd+I) and under the Text tab click on More
4. Change the language to your preferred one.
5. Do the same to the headers if you want to..
6. Go to File, save as template and save it as: 'Blank.template' (template is the file's extension) to your Desktop.
7. Go to the iWork folder where the Pages app is, and right-click (or ctrl-click) Pages, and select Show Package Contents, then go to Contents--> Resources--> Templates--> Blank and copy-paste your edited Desktop file to this folder (replace it).
8. DONE! Now when you open a new blank document, your language has been set!

I know this is an old post, but it saved my sanity. Thanks.
